Important Information for CSSS Delegates

(Updated June 26, 2008)

(1)    All speakers should carefully review the instructions for oral presentations posted on the conference Web site.  In particular, please note that Powerpoint files must be saved in a version compatible with MS Office 2003.  The UNBC network uses XP and Office 2003, and does not currently support Vista or Office 2007.  It is your responsibility to ensure that your Powerpoint presentation will look the way you intended when projected.  A speaker preparation room with networked PC computers and an attendant will be available to help you to load and check your file before your session.  Presenters in the Monday morning sessions should arrange to load their presentations Sunday evening or Monday morning before the conference opening at 8:30.  To prevent confusion, your Powerpoint file name should begin with the first author’s last name, and include 1 or 2 key words from your presentation title.

(2)    If  possible, please send Powerpoint files as an email attachment in advance of the conference on or by July 3rd to Brenda Janzen (janzen@unbc.ca).  Brenda will confirm receipt of all attached Powerpoint files, but will not be checking each file for compatibility.  Files up to 10 Mb can be received as email attachments by the UNBC system.  [To reduce file size, use “Compress Pictures” on the Picture toolbar in Powerpoint.]

(3)    A continental breakfast on Monday, Tuesday, and Wednesday morning is included in the registration fee for all delegates.  Breakfast will be served in the Bentley Centre Hallway at 7:30.  (UNBC campus maps are available at: http://www.unbc.ca/communications/photos/maps.html) Lunches and coffee breaks are also included in the delegate fee, and will also be served in the Bentley Centre Hallway.

(4)    No evening food service will be available on campus on Monday and Tuesday evening, so delegates must make their own arrangements.  For those delegates without access to a vehicle, a shuttle bus will leave for the downtown area at 18:30 and return to campus (pickup location TBA) at 21:00.  Information and a map indicating downtown restaurant options will be provided in the delegate kit.

(5)    For delegates staying off-campus, and who do not have vehicles, a shuttle bus between downtown and UNBC will be available morning and evening.  On Sunday evening, July 6th, it will depart from the Coast Inn of the North (770 Brunswick St.) at 1800, and will depart UNBC at 2100.  On Monday, Tuesday, and Wednesday mornings, the shuttle bus will leave the Coast Inn at 7:00 am.  We will not be providing an airport pickup and dropoff service.  The most economical option is the Airporter shuttle ($9.00) which meets most incoming flights and will drop off passengers at UNBC or destinations in the city centre.  For delegates departing Prince George by air, call 250-563-2220 to book a pickup by the Airporter.

(6)  Delegates that will be moving on Sunday, July 6th from accommodation downtown to On-Campus Guest Accommodation will need to go to the registration desk between 13:00 - 21:00 in the Administration Building Atrium FIRST to obtain your key and information for Housing.  If you arrive after 21:00 on Sunday evening, go directly to the Neyoh Residence (building closest to campus).  The Housing office will be closed Sunday.  Use the white courtesy phone in the foyer area to contact the Guest Services Representative (960-0457) who will meet and check you in.

(7)    Registration will be open 13:00 – 21:00 on Sunday, July 6th in the Administration Building Atrium for all delegates.  The opening social gathering begins at 18:30 in the Atrium.  The registration desk will open at 7:00 in the Bentley Centre Hallway on Monday, Tuesday, and Wednesday.

(8)    Both poster sessions will be held in room 7-172 of the Bentley Centre.  Please ensure that your poster is mounted in its assigned space before the morning coffee break.  Poster mounting supplies will be available at the registration desk in the Bentley Centre Hallway on Monday and Tuesday.

(9)    Please note that the UNBC Campus will by closed on Saturday, July 5th, for a utility maintenance shutdown.  Commercial exhibitors or other delegates who might need access to campus facilities prior to the conference opening on Sunday evening should contact UNBC Conference Services at the registration desk in the Administration Building atrium on Sunday after 13:00.

(10)    The deadline to purchase additional banquet tickets is June 30. Please contact Audrey Faktor to purchase tickets: Tel  250.960.6760, Fax 250.960.5291; email:  faktora@unbc.ca
